Rental Terms & Conditions

Terms and Conditions for renting items from Luxe Floral Rentals. By renting from us, you are agreeing to the following:

Payment: We require payment in full in order to confirm your booking and secure our services for your event. We offer payment plans through Shop Pay at checkout. Any additional balances for delivery costs or customizations must be paid no later than 30 days prior to the event date. This policy ensures that we can provide the highest level of service and preparation for your event. We appreciate your understanding and cooperation in adhering to our payment policy. Disclaimer: Please note that our rentals are made of only faux florals. We use only high-quality real touch & silk artificial flowers that are carefully selected and arranged to create the desired aesthetic.

Balance Due: The balance due must be paid in full at least 30 days prior to the wedding/event. Please note that failure to pay the balance in full may result in cancellation and closure of the contract. If we can still fulfill the contract, a 10% fee will be added to the balance due, with an additional 10% fee added for every seven days that the balance remains unpaid. Additional costs that arise from late payment will be passed on to you.

Location and Setup: The listed rental price is for one setup/location only. If you require a rental item to be moved from the ceremony to the reception or any other location, additional fees will apply. For insurance reasons, only our team can move our items unless they are able to be moved by an approved wedding coordinator to another location on the same site. To avoid any issues, we kindly ask that you ensure our rentals will fit in the desired space before confirming your order with us. Set-up will be completed no later than one hour prior to event start time.

Delivery and Pickup: All orders include delivery, setup, and pickup. We have a pickup time of no later than 9:00 PM, and we deliver within 35 miles of Fishers, Indiana. Pickups past 9pm will incur an additional fee. The delivery cost for orders outside of 35 miles is $1/mile with a maximum distance of 75 miles. Please contact us for a delivery quote.

Late Night Pickup Fee: Any pickups past 9 PM will be subject to a late-night pickup fee.

10PM charge of of $100

12AM charge of $300

Product Handling: No rentals can be left outside overnight, including the pillars, arches, or aisle flowers of any kind. Our items cannot be in the rain due to damage. If there is adverse weather predicted and our rentals are outside we will come get them early/find a suitable indoor location. No one is allowed to transport, take-down, or move our product without prior written approval.

Any damage incurred to our product beyond natural wear while renting our items will be charged to your card in the amount of 2 times the rental price of the item Your credit card information is safely stored and will be deleted once the items are returned. 

Any décor for the wedding/event not provided by Luxe Floral Rentals is not guaranteed by Luxe Floral Rentals even in cases where Luxe Floral Rentals items are integrated. In such cases, any alterations deemed necessary will be made to preserve consistency and Luxe Floral Rentals will be blameless.

Venue and Location Limitations: Luxe Floral Rentals is limited by the rules and guidelines of the location(s) and site management. Negotiation with the officials for moderation of guidelines is the responsibility of The Customer; Luxe Floral Rentals will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations not communicated to Luxe Floral Rentals.

Adverse Weather Clause: Luxe Floral Rentals reserves the right to prioritize the safety of its staff, clients, and the integrity of its products. In the event that adverse weather conditions, including wind gusts over 12mph, are forecasted or present at the scheduled setup time or anytime during the duration of the event, Luxe Floral Rentals retains the right to delay or cancel the setup of its products if a suitable location cannot be agreed upon.

Notification and Rescheduling: In the event that Luxe Floral Rentals determines that adverse weather conditions may impact the setup, Luxe Floral Rentals will make every effort to notify The Customer as soon as possible via the contact information provided. Luxe Floral Rentals and The Customer will then discuss the best course of action, which may include rescheduling the setup for a mutually agreeable date and time, subject to product availability and the terms outlined in the original contract. 

Custom Collections: We understand that our customers may have unique preferences and requirements for their special events, such as custom arch and aisle flower collections. To accommodate these specific requests, we offer custom collection services. Custom collections will remain property of Luxe Floral Rentals and will only be offered as a rental. Custom collections are subject to all of the same terms and conditions as our other rental inventory. A custom collection cannot be made unless booked at least five months prior to the event. Custom collection rentals will also include one mock-up created by Luxe Floral Rentals and sent via email. Customers are required to review and approve the mock-up in writing. Any modifications to the approved design must be communicated and agreed upon in writing. If the client requests additional mock-ups beyond the initially provided one, a fee of $50 will be applied for each additional mock-up.

Customizations: Luxe Floral Rentals allows for customizations to existing products. Customizations must be communicated and paid for 60 days prior to the event. Customizations can only be done through Luxe Floral Rentals. Additional flowers/enhancements to our pieces can only be done through Luxe Floral Rentals. If additional enhancements are added through another entity, professional or otherwise, a damage fee of 20% of the rental price will be applied to the card on file.

Cancellations: We require a 90 day cancellation notice, otherwise your payment cannot be partially refunded. In the event of a war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your wedding/event, we will move your payment free of charge to another date. 

Payments will not be refunded in full, they will exclude the payment processing fees, as well as any time we spent in communication with you, the time spent forming your proposal, any time spent working on your event preparations, shipping fees/payments from ordering samples/materials, holiday date fees, and fees charged by our banking institution for refunds.

Luxe Floral Rentals reserves the right to cancel this contract if at any time Luxe Floral Rentals feels that the obligations cannot be met. Luxe Floral Rentals will credit the amount paid, minus any actual costs incurred up to that point that Luxe Floral Rentals informs you.

Any controversy or claim arising out of or relating to this contract, or the breach thereof, shall be settled by arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules [including the Optional Rules for Emergency Measures of Protection]. The arbitration hearing shall take place in Fishers, Indiana before a single arbitrator. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
